Your enquiry and your privacy.

How we use the information you share with us.

Who handles your information

John Day Services is responsible for the personal information used to handle your enquiry. Contact us at admin@johndayservices.com or 01482 738444 about your information or this notice.

What we collect and why

The form collects your name, email address, postcode, service choice, job description and preferred reply method. If you choose a phone, text or WhatsApp reply, we also need your phone number. A preferred call time is optional. Please avoid including sensitive information or details about other people that we do not need.

We use these details to acknowledge your enquiry, understand the work you are requesting and contact you about it. For a requested quote or service, this is to take steps at your request before entering a contract. We also have a legitimate interest in answering general enquiries and protecting the form against spam and misuse. Your enquiry is not a booking or an agreed quote. We do not use this form to sign you up for marketing.

The required fields help us understand and answer your request. If you prefer not to use the form, you can call or email us directly.

Website and email providers

Cloudflare hosts the website and enquiry database and provides the Turnstile security check. IONOS handles our enquiry emails. Turnstile processes technical information such as your IP address and browser signals to distinguish genuine visitors from automated abuse. See Cloudflare’s Turnstile privacy notice and Cloudflare’s privacy policy.

We use Cloudflare Web Analytics to count page views and see which pages are useful. It does not use cookies or local storage, does not track you across other websites, and gives us aggregate statistics only, not information about individual visitors.

Our enquiry application stores hashed values for its IP and email rate limits, rather than raw IP addresses. Website and security providers may process technical logs separately. Providers operate internationally; their privacy information explains their processing locations and transfer safeguards. Contact us if you need further details about the services used for your enquiry.

If you ask us to reply through WhatsApp, that conversation also uses WhatsApp’s service. The form sends an email acknowledgement only; replies by phone, text or WhatsApp are handled by us.

How long we keep it

The website database automatically removes enquiry details and their email delivery records after 90 days. Short-lived rate-limit records expire separately. The annual numbering counters contain no customer details and are retained so references are not reused.

This automatic deletion does not remove email copies or provider backups. We keep email correspondence and any resulting job records for as long as needed to deal with your enquiry, carry out work, meet record-keeping obligations or resolve a dispute. Ask us about the records relating to your enquiry or request deletion using the contact details above.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your information, have it erased, restrict its use, object to processing based on legitimate interests, or receive information in a portable format. We will explain any reason that prevents us fulfilling a request. We do not make decisions with legal or similarly significant effects about you using automated processing.

You can raise a concern with us or complain to the UK Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
